Who We Are

EquipSvc Fleet Management ("EquipSvc Fleet") is operated by RamerIT LLC. This Privacy Policy explains how RamerIT LLC collects, uses, and protects information processed through the EquipSvc Fleet web application and SMS workflows.

Information We Collect

• Account information such as names, email addresses, roles, and phone numbers
• Fleet operations data such as equipment locations, moves, readings, and work orders
• Presence sticker and QR label records: who tapped a machine's tag or scanned its QR label, which machine (and which tag, for a tap), how the visit arrived, when, and the machine's job site at that time; and your phone's location and its accuracy, taken within two minutes of the tap or scan when you allow it — sharing it is optional, and a machine's actions are available either way
• SMS interaction data including consent timestamps, opt-out timestamps, and message logs
• Technical information required to operate and secure the service

Equipment Tap Location

When you open a machine's tag link or scan its QR label while signed in (or sign in after opening it), EquipSvc Fleet records the tap or scan, how it arrived, and may then ask your browser for your phone's location. Whether you are prompted is up to your browser: if you have already allowed location for this site, your browser may not ask again, so later taps and scans — including a tag link someone sent you or a photo of a QR label — can record your phone's location without a new prompt. If you decline, or no location is available, your phone's location is not saved.

Your organization uses these records to see where work was started from a machine. Sharing your phone's location is optional: if you decline, or no location is available, the machine's actions (such as a prestart inspection, logging hours or reporting an issue) are still available, and the tap or scan is recorded without a location. The location is taken only in response to a tap or scan (or your own Try again within two minutes of it) — not continuously, and not in the background.

Tap history and saved phone locations are visible only to people in your organization who manage equipment (administrators and managers). When you tap, you see the status of your own location report, including whether it was saved. To stop your location from being recorded on future taps, turn off location access for this site in your browser or phone settings — machine actions after a tap or scan will then be unavailable; locations already saved stay part of your organization's records.

How We Use Information

We use information to provide fleet management services, maintain account access, deliver operational SMS messages, support customer service, and secure the platform. SMS consent records are used solely to administer messaging preferences and compliance.

SMS Privacy

Phone numbers collected for EquipSvc Fleet are used only for account access, operational fleet messaging, and brief HR notices (a text that a positive or negative performance notice was filed for you and its date — never its description or category) within your organization. RamerIT LLC does not sell, rent, or share SMS consent, phone numbers, or message content with third parties for marketing purposes.

We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes.

SMS message frequency varies based on your role and fleet activity. Message and data rates may apply. Reply STOP to opt out of SMS messaging or HELP for assistance.

Service Providers

We use service providers, including Twilio, to deliver text messages and related communications. These providers process data only as needed to perform the requested services on our behalf.

Data Retention

We retain account, fleet, and messaging records for as long as needed to operate the service, comply with legal obligations, resolve disputes, and enforce our agreements.

Safety record retention

Finalized safety records (forms, signatures, and their archived PDFs) are retained for the life of your account and for at least three years. Records are never edited after finalization. If you cancel your account, contact us and we will provide a complete export of your safety records.

Retention requirements vary by record type and jurisdiction. Determining how long your organization must keep a given record — and keeping your own copies — remains your responsibility. See our Terms of Service for how responsibility for regulatory compliance is allocated.
